We are looking for a Mailroom and Facilities Coordinator to join our Operations team here at Deutsch. The Mailroom & Facilities Coordinator performs a wide variety of clerical, facilities-related and administrative duties, which includes providing a high level of customer service and support, while consistently producing an excellent work product.  The Mailroom & Facilities Coordinator works closely with the Director, Office Services and all agency departments on Mailroom and administrative support and special projects

  • Track all incoming mail and packages; provide delivery information when requested
  • Coordinate, track and maintain inventory of bills with Finance team
  • Track, order and maintain inventory of all supplies and promotional items
  • Maintain cleanliness and appearance of conference rooms and other common areas 
  • Provide special courier and overnight set ups 
  • Stock the pantry and refrigerator and maintain machines in coffee
  • Stock the restrooms on a daily basis
  • Assist with event set up and breakdown
  • Keep refrigerator in executive office stocked at all times
  • Handle day-to-day ad-hoc requests and projects


  • Knowledge of MS Office Applications (Word, Excel, PowerPoint, Outlook)
  • Excellent interpersonal and verbal communications skills
  • Organized, with the ability to multi-task while demonstrating a high level of attention to detail
  • Ability to work well with staff, clients and vendors at all levels
  • Problem solving ability
  • Customer-service oriented
  • A desire to take on increasing responsibilities
  • Assist with all renovation projects
  • Must be able to lift heavy furniture 

Education: BA/BS Marketing, Communications, or other related field preferred

Experience: 1+ years of experience working in a professional office environment
